The booking process is made up of 4 stages: setup, itinerary, extras (optional) and confirmation.
Step 1: Set-up
1 An overview of all the steps involved in making a booking and which stage you are at.
2 Start by selecting travellers for your trip. You can also add guests.
3 Next, create a travel itinerary by entering dates, times and locations for your itinerary. Itinerary cards are automatically created for each “suggestion options” tag selected.
4 An accommodation card will be added to your itinerary automatically based on your flight details. By default, it will search within a set radius of your destination.
5 To change the default search click “edit”.
6 If your flights arrive in one city and leave out of another, an accommodation card will not be created automatically. You will need to manually add an accommodation card by using the “+” symbol.
Step 2: Itinerary
Based on your search criteria, your previous trips and your company travel policy, an itinerary will be recommended for you.
1 This is your trip summary.
2 Switch between list, map or grid view. This will be saved next time you book.
3 Change the date and time of your itinerary.
4 Use the tiles to select which flights/accommodation/transport you would like.
5 Select your price. Memberships for flights can also be added here.
6 You first booking will default to the suggested view, which displays a shortlist of accommodations. We advise using the list view as it allows you to add filters to your search.
7 Change your search destinations and check-in and check-out dates.
8 Make your search easier by applying filters.
9 The rating of the accommodation.
Step 3: Extras
Here, travellers can personalise their bookings by adding seats, baggage and meal requirements for flights. After which, the airline will determine whether the requests are approved.
1 Personalized items (seats, bags, meals)
Seat availability is based on the traveller’s airline membership. The status of the membership will determine the seats that are available to select.
2 Save your choice
Click “OK” to save your selections.
The booking will be processed and confirmed once you click “continue to confirm”. If you have set up booking rules (travel policies) in your administration page and the traveller does meet these policies, they will not be able to confirm the booking.
Step 4: Confirmation
1 Complete the booking and payment details
- Check the traveller and itinerary details are correct and payment details are completed.
- The Special requests and additional information section provides the opportunity to add further details as required.
2 The Corporate Compliance section
This is a checklist to indicate all mandatory information for the booking.
- For each row with an amber exclamation icon, click on the icon and you will be taken to the section of the page that needs to be finalised before completing the booking.
- Enter / Select the required details.
- The amber exclamation icon will now appear as a green tick.
- Complete each row until all items display the green tick.
3 Read and accept Rules and Conditions
You will be required to acknowledge that you have read and accept the rules and conditions for the providers in the booking. You will also be required to acknowledge instant purchase content. Check all boxes to continue.
