  To use Booking.com for Business, each traveller must have a profile. Only administrators are authorised to create profiles or invite users to join the company's Booking.com for Business account.

  Establishing profiles for your team allows you to define each user's permissions and roles from the outset. You can create these profiles either by entering details manually or by uploading a spreadsheet.

  Creating profiles manually

  1. Access the Administration menu: Click on the bottom left option in your dashboard to go to the 'Administration' menu. 
  2. Go to Invite team: Look for the section labelled ‘Invite team’ in the administration menu. Here, you will find the option to either invite users or create a profile for them. 
  3. Click on ‘Create profiles for your team’
  4. Fill in the required information: Complete all necessary fields, including title, first name, last name, and email address.  
  5. Choose the user role: Select a role for each user (Administrator, Arranger, Traveller, or Commuter). Each role comes with different permissions and access to the Booking.com for Business account.
  6. Click ‘Create Now’: An email notification will be sent to each individual, providing instructions on how to log in and set their password.

  

   

  Creating multiple profiles by uploading a file

  1. Access the 'Administration' menu: Click on the bottom left option in your dashboard to go to the 'Administration' menu. 
  2. Go to Invite team: Look for the section labelled ‘Invite team’ in the administration menu. Here, you will find the option to either invite users or create a profile for them. 
  3. Select ‘Create profiles for your team’
  4. Click on ‘Download template’ to download the template  
  5. Refer to the ‘Example and more info’ tab in the Excel sheet to populate the ‘Enter your team’ tab.
  6. Save as CSV format: After entering all required information, save the file in CSV format. 
  7. Upload the CSV file: Click the ‘Upload file’ button to upload the CSV file, or simply drag and drop the file into the designated area.
  8. Confirm upload: Once uploaded, the user profiles will appear in your Booking.com for Business account. A welcome email will be sent to each new user, guiding them on how to log in and create their password.

  Useful information

  Please ensure the username matches the individual's passport or photo ID. The system does not currently support special characters, so please use only Latin characters.

  Additional information

  Email addresses cannot be modified once saved. To correct an address, you'll need to create a new profile.

  Invoices for accommodation are issued directly by the property you stayed at. To obtain your invoice, follow these steps:

  1. Contact the property: Find the property's contact information on your confirmation email. Reach out to them directly via phone, email, or the messaging feature. We recommend requesting the invoice during your stay.
  2. Provide reservation details: When contacting the property, include your reservation details as this will help the property locate your booking faster.
  3. Specify format preference (optional): If you have a preferred format for receiving the invoice, please inform the property during your request.

  Alternatively, you can contact CWT for further travel support.

  
  Please note that processing times for invoices may vary depending on the property.

  Flights

  If you require an invoice for your flight booking, please contact CWT. CWT is our third-party service provider responsible for handling invoices for flight bookings made through Booking.com for Business. 

  Follow these steps to request your invoice:

  1. Email CWT: Send an email to CWT requesting your invoice.
  2. Clearly indicate the purpose of your email by including "invoice request” in the subject line.
  3. Provide invoice request details: In the email body, provide the following information for faster processing:
     • Traveller name: The full name of the passenger on the flight.
     • Departure date: The date your flight departed.
     • First destination: The city or airport where your flight first arrived.
     • Booking reference: A unique reference number associated with your flight reservation (usually found on your confirmation email).

  Please note that processing times for invoices may vary depending on the flight provider. Please check your confirmation email for any additional information regarding invoice requests.

  Car rental

  Invoices for car rental bookings are not available through Booking.com for Business. To obtain your invoice, please contact the car rental supplier directly by locating the supplier’s contact information. This can be found on the:

  • Confirmation email: Your confirmation email should include the supplier's name and contact details.
  • Rental agreement: The rental agreement you received when picking up the car may also have contact information for the supplier.
  • Supplier’s website: Visit the website of the car rental company you used. They should have a ‘Contact us’ section or a customer service phone number listed.

  Please note that processing times for invoices may vary depending on the car rental supplier. Some suppliers may offer the option to download your invoice. You can also request the invoice directly when picking up or dropping off the rental car.
